Final IEEE Version
This webpage contains instructions for authors of accepted papers in CHILECON 2025 tracks on how to prepare and submit the final version of their manuscripts for publication in IEEEExplore. To be published, papers must be presented during the conference and follow the required format for publication in IEEE Xplore.
It is important to follow the steps specified below (see details of each in the following sections):
- Step 1: Make improvements to your article according to the reviewers’ recommendations.
- Step 2: Format the final version of your article according to IEEE style.
- Step 3: Generate a compatible PDF file for your article using the PDF eXpress service.
- Step 4: Complete and sign the Copyright form.
- Step 5: Submit the final version of your article.
- Step 6: Register for the conference.
It is mandatory to comply with all of these steps and submit the final version by October 1st , 2025, to publish your article in IEEE Xplore. Registration must also be completed by that date.
Each of these steps is explained in detail below.
Step 2: Format the final version of your article according to IEEE style:
The formatting instructions provided in this section MUST be strictly followed for your article to be included in the proceedings for publication in IEEEExplore.
The reference format for the final version of articles is the IEEE standard (Manuscript Templates for Conference Proceedings). Be sure to review and correct the document format according to this template.
- Submit articles in two columns, single-spaced, letter-size (8.5″ x 11″).
- Figure titles should be centered below the figure.
- Table titles should be centered above the figure.
- Use IEEE style for bibliographic references.
- The maximum article extension is 8 pages for full papers.
- Ensure that figures and tables have high resolution and that their text is easily readable. Articles with low-resolution figures or tables may be rejected by IEEEExplore.
- Do not include page numbers in your manuscript.
- Do not apply security settings to your PDF file.
- Only PDF files (preferably generated by the IEEE PDF eXpress service) are accepted.
- Copyright Notice: The copyright notice (ISBN + year + price + IEEE) that appears at the bottom of the first page of IEEE published papers will be added by the Conference Secretariat. On the registration form, you will be asked to select the type of copyright notice that corresponds to your paper.
Articles must have ONLY ONE title (in English), ONLY ONE abstract (in English), and ONLY ONE index-terms list (in English). That is, if your article is written in Spanish or Portuguese, the title, abstract, and index-terms list must be in English. Do not include a second title (in Spanish or Portuguese), a second abstract (in Spanish or Portuguese), or a second keyword list (in Spanish or Portuguese).
Other common issues encountered in past submissions relate to the proper formatting of the title, authors, affiliations, and abstract. Please note:
- Use capital letters in the article title (main words with the first letter capitalized and minor words with lowercase).
- Author names should not be numbered; do not include any numbered sequence when specifying the article’s authors. Authors with different affiliations should not be grouped in the same column; they should be listed separately in different columns.
- Affiliations should include the organization name, city, country, email address, or ORCID.
- In the abstract, write: Abstract – “abstract in English” (paragraphs only, do not use subdivisions with titles).
- In the keywords, write: Index Terms – “keywords in English.”

Step 3: Generate a compatible PDF file for your article using the PDF eXpress service:
The final version of the paper must be submitted as an IEEE Xplore-compatible PDF file. Even if you can generate an IEEE Xplore-compatible PDF file using other means, you must use the IEEE PDF eXpress service to verify compatibility. PDF eXpress is a free service for IEEE conferences, allowing authors to generate IEEE Xplore-compatible PDF files (conversion feature) or to verify that author-generated PDF files are IEEE Xplore-compatible (verification feature).
If you want to submit a source file to PDF eXpress for conversion, PDF eXpress can convert the following file types to PDF: Postscript, Microsoft Word, Freelance, PageMaker, FrameMaker, TeX/LaTeX (supporting files are required), WordPerfect, QuarkXpress, Rich Text Format, and Word Pro.
Instructions for using PDF eXpress:
If you already have a PDF eXpress account, access the PDF eXpress website by going to IEEE PDF eXpress (https://ieee-pdf-express.org/account/login?) and entering 66915X as your conference ID.
If you do not yet have a PDF eXpress account, you can create one by following these steps:
1. Go to the PDF eXpress website.
2. Click the “Create account” link.
3. Enter 66915X in the “Conference ID” field.
4. Enter your email address and confirm it.
5. Choose a Password.
6. Click the “Submit” button to continue and enter the additional information requested. (You will receive an email confirming the successful creation of your account.)
Now that you have a PDF eXpress account, for each article you want to generate, do the following:
1. Log in to the Dashboard and click the “Create New Title” button.
2. Enter a text that identifies your article (use the easychair ID or title of your article)
3. PDF eXpress will display a small table with summary information about the uploaded file. To convert or approve your article, review the icons on the right. The first converts from Word or LaTeX to PDF. The second icon allows you to validate a PDF. For example, if you have a DOC or DOCX file with your article, you need the conversion function (first icon), but if you have a PDF file generated on your own, you only need the verification function (second icon).
4. You will receive an email with the verified file (verification feature) or the resulting PDF file (conversion feature). If you used the verification feature, the email will specify whether your PDF file passed or failed the IEEE Xplore compatibility check. If you verified a PDF, you will also see its review status, which should indicate “Approved” to be correct.
Step 4: Complete and sign the Copyright form
The corresponding author of each accepted article must complete the copyright form by October 1st, 2025, for their article to be indexed by IEEE Xplore. This time, the electronic system (IEEE Electronic Copyright Form – eCF) will be used. When completing the form, it is important to check that the article title and authors match the final manuscript. Otherwise, the paper may be rejected once submitted to IEEE Xplore.
- You must log in to the conference’s Easychair platform, but this time logging in as the “Proceedings author (CHILECON Proceedings)” role.
- Then you must click the red “Sign Copyright Agreement” button, as shown in the figure.
- It is very important that the article title is the same in the copyright agreement, in the PDF of the article itself, and in the system information (Paper Information).

- You will be redirected to the ecopyright.ieee.org website, titled IEEE Publication Agreement, as shown in the figure below.
- Follow the five steps within the site and review your article’s title and author information, ensuring it is identical to the PDF version of the article.
- When you reach step 4, you will need to enter your name as your signature.
- In the fifth and final step, you will receive a confirmation email with a copy of the completed copyright form.

Step 5: Submit the final version of your article
The final version of your article must be submitted by October 1st, 2025, for inclusion in the conference technical program (CHILECON proceedings). To do so, you must:
- Log in to the conference’s Easychair system, but this time as the “Proceedings author (CHILECON Proceedings)” role, similar to the previous step.
- Then, in the upper right corner, select the “Upload new version” option and upload the article in PDF format, which you validated in step 3.
Before uploading the final version of your article, please check that you have not added page numbers and that your figures and tables are in high resolution. Also, verify that you have used IEEE style for bibliographic references and that the article is formatted in letter size (8.5″ x 11″). Articles accepted from CHILECON tracks must have a unique title, a unique abstract, and a unique list of keywords (Index Terms), all three in English only.
Also, verify that you have formatted the final version of your article into an IEEE Xplore-compatible PDF file. For this reason, you must use PDF eXpress to generate or verify the PDF file of your article (see Step 3). IEEE Xplore reserves the right not to publish non-compliant articles or those that do not follow the format.
It is important to remember that al least one of the authors must present the article at the conference; otherwise, the article will be published only in the CHILECON proceedings and not in IEEE Xplore.
Step 6: Register for the conference
Every article must have a registration associated with it that covers its publication in the proceedings. For the registration process, please visit the Registration section on the Conference website https://conferencia2025.clei.org/registration/
The registration form (Google Form) identifies you by email address of Gmail type. This allows for modifications after submission. It also sends a notification email with the options marked as backup, which can then be modified later.
It is important that at least one author of accepted articles registers by October 1st. The payment method and associated receipt are not required at the time of registration.
However, any payment to be made after registration must be reported in the comments section of the registration form or to the conference secretariat by email clei2025cl@gmail.com
